COVID-19 Level 2 Safety Guidelines

As we transition into Level 2, we are delighted by the news that we are able to return to work and continue with real estate. Whilst we tread lightly and await further direction on Open Homes, as expected there are rules to follow which are detailed below:

Offices

  • All offices are open to the public, branch administration, and managers in attendance as per normal operating hours
  • Agent attendance remains at Level 3 standards please ensure a 1-metre distance if you are in the office
  • Contact Tracing will be required for all who enter our offices (including staff, licensee, public)

Contact Tracing

Information that must be collected from every individual entering our Ray White premises or an Open Home are as follows:

  • their name, mobile number, email address
  • as well as details of who they have been in contact with (i.e anyone who has been self-isolating or has been in close contact with a confirmed case of COVID-19 in the last 14 days)
  • they do not have flu-like systems at the time, and
  • the date and time of arrival.

Contact Tracing – Offices

  • Agents and staff may use the app to sign in and out
  • A register will also be held at the reception desk
  • Each person who enters the office needs to complete the register, with their own pen
  • If they have no pen, then the branch administrator or licensee will ask the questions and complete the register
  • This includes everyone. All branch administration, licensee, managers and any member of the public.

Contact Tracing – Property Inspections

  • Our agents will use an app to check each person in. This is our default system for Contact Tracing
  • Any other system used or inspection of another agents listing needs to be copied and the full details as set out above sent to your branch manager daily.

PPE (Personal Protective Equipment) Kit – known internally as “The Bucket”

  • No members of Ray White Hawke’s Bay can engage with any member of the public in a commercial sense, without having this complete PPE kit with them and available for use at all times.
  • The PPE kit includes;
    • Hand sanitiser
    • Disposable gloves
    • Disposable face masks
    • Antibacterial wipes
    • A container to store and transport the above items

Appraisals & Listing Presentations

  • Ensure physical distancing is maintained at all times (2-metres)
  • Do not attend property if occupants have been overseas recently, are self-isolating or have been in contact with a confirmed case of COVID-19, or if the licensee or anyone the licensee has been in contact with has been a confirmed case of COVID-19 within the last 14 days
  • Minimise time at the property
  • Ensure COVID-19 health recommendations are followed (hand sanitiser etc)

Negotiations & Contracts

  • Agreements can be negotiated and executed in person, provided it can be done so safely (e.g. physical distancing (2m minimum) can be maintained at all times
  • Hygiene etiquette is adhered to, hands sanitised when entering and exiting the property
  • Licensees could consider holding discussions by phone or video call, to reduce personal contact
  • Parties to use their own pens

Property Viewings/Open Homes

    • Licensees will adequately manage crowd control, contract details of all visitors prior to entry, signing them in and out.
    • Every visitor will be asked the necessary health questions as per individual inspections and have their contact details including full name, phone number and email recorded in Homepass or on a register or entry will be denied.
    • All visitors will be required to sanitise their hands on entry after removing shoes
    • All visitors will be told to make their inspection brief and that it is contactless
    • Children should remain outside
    • Hand sanitising and social distancing must be followed at all times
    • No printed material will be distributed
    • Masks and gloves should be made available to any of the public who would like them
      • Anyone who has been self-isolating or has been in close contact with a confirmed case of COVID-19 in the last 14 days may not enter the property; and
  • Property occupants should vacate the premises during a viewing
  • Ask the home occupants to open internal/external doors beforehand to minimise surface transmission
  • If a property is tenanted, the consent of the tenant is required to hold a private viewing. Tenant permission cannot be unreasonably withheld, per the Residential Tenancies Act
  • No viewings at properties where the client/ occupants have been unwell with flu-like symptoms, are self-isolating or have been in contact with a confirmed case of COVID-19 within the previous 14 days
